Customer Service Specialist

Department: Sales Department
Reports to: Sales Manager
Overview: Customer Service Specialists are the customer-facing front line for managing incoming customer concerns and requests, ensuring excellent service standards, responding efficiently and timely to customer inquiries, and maintaining high customer satisfaction. This position will work with all department levels including, but not limited to production, quality, marketing, accounting, continuous improvement, sales and account managers, and outside sales representatives. + More Info

Essential Job Duties:
  • Manage all aspects of sales orders including order entry, sending confirmations and updates to customers.
  • Check pricing on all incoming orders and issue price adjustments (PA’s) when needed.
  • Manage rush orders with Production and Shipping departments, while being mindful of customer freight considerations and inventory requirements.
  • Manage incoming calls and emails. Communicate with customers, helping them through the ordering process when needed.
  • Issue quotes for QuikShip items, and ensure standard lead times for QuikShip orders are maintained.
  • Initiate new item request process as necessary
  • Oversee Live Chat for online orders and inquiries
  • Request new dies, enter pre-production samples when die completed, and send approval forms to customers for sign off.
  • Tracking of sales orders to ensure complete, timely shipping via daily production meeting.
  • Understand that time is of the essence, respond to email/telephone inquiries from external/internal customers within 1 hour.
Supplemental Functions and Responsibilities:
  • Make customer accounts and files when needed, file and organize customer folders.
  • Make and keep inventory of sample kits, sample bags, and catalogs.
  • Keep customer information in ERP system current and updated.
  • Work with the quality department to address any customer complaints.
  • Know the formal and informal company goals, standards, policies and procedures.
  • Be sensitive to the interrelationship of people and functions within the sales department and other company departments.
  • Work with IT department to develop custom reports, as needed.
  • Work with marketing department to support business development, as needed.
  • Will serve as backup for other Team Members.

  • Demonstrate flexibility/adaptability in a dynamic, fast-paced team environment.
  • Must possess excellent organizational skills to provide accurate follow-up, understand inventory management, understand the strategic direction of any department to which they provide customer service support and translate that strategic direction into tactics with their assigned customers.
  • Ability to work collaboratively with all functions of the business to provide “best-in-class” end-to-end customer service.
  • Ability and willingness to foster an environment of teamwork and open collaboration to support an exceptional service experience for every customer.

  • ADDITIONAL INFORMATION:   Some travel may be required.
Education, Training and Experience:
  • Bachelor’s or Associates degree preferred
  • Strong Math skills required
  • 3 years’ experience in a sales or customer service position
  • MUST be detail-oriented with superior organizational skills
  • Computer proficiency with the ability to learn new programs quickly. Microsoft Office proficiency is required (including Excel, PowerPoint, and Word)
  • Technical experience is highly desired

Machine Operator

Department: Production

Essential Job Duties:
  • Perform machine setups (calibration, cleaning, etc) to start a production cycle.
  • Control and adjust the functions and settings of machines.
  • Feed the necessary raw material to semi-automated machines.
  • Inspect parts with precision and measuring tools to ensure they meet requirements.
  • Test the operation of machines periodically to guarantee their smooth running.
  • Fix issues that might occur during the shift.
  • Check output to discover any machine-related mistakes or flaws.
  • Keep records of approved and defective units or final products.
  • Maintain activity logs.

  • Back up on other machines
Scope of Responsibility:
  • Know the formal and informal goals, standards, policies and procedures, which may include some familiarity of other departments within the company.
